We are seeking a highly organised and proactive Branch Administrator to support the day-to-day administrative and operational functions of our branch. The successful candidate will play a key role in ensuring accurate record keeping, supporting payroll administration, coordinating resources, and maintaining efficient communication between the branch, head office, and operational teams.
This position requires strong attention to detail, excellent organisational skills, and the ability to manage multiple administrative tasks in a fast-paced environment.
Key Responsibilities
Administration & Payroll Support
- Check, collate, and prepare timesheets for processing.
- Administer data input processes for payroll systems.
- Verify that operative details are correctly entered into PeopleSoft and complete the hiring process within the system.
- Scan and electronically file relevant documentation.
- Perform general administrative duties including filing, telephone answering, scanning, photocopying, and emailing.
Operational Coordination
- Create order requests through the company management system.
- Match operatives to order requests through Rail Planner, as directed by the Resourcing Team.
- Liaise with relevant support departments at Head Office.
- Ensure all operatives are issued with the correct PPE and associated equipment, arranging orders when necessary.
Staff & Training Administration
- Monitor training and assessment requirements for operatives.
- Provide joining instructions for courses and assessments.
- Arrange accommodation for operatives where required.
Office & Branch Support
- Maintain office stationery supplies.
- Ensure branch administration records are accurate, up-to-date, and easily accessible.
- Handle incoming calls and respond to queries in a professional manner.
- Carry out additional duties as requested by the company from time to time.
Key Skills & Experience
- Previous experience in an administrative or office support role.
- Strong organisational skills with high attention to detail.
- Ability to manage multiple tasks and deadlines effectively.
- Confident communication skills, both written and verbal.
- Competent with Microsoft Office and administrative systems.
- Experience with PeopleSoft, Rail Planner, or payroll systems would be advantageous but not essential.
